All event management contracts, commercial quotes, vendor agreements, and payment transactions are issued and governed by BERQAT MEDIA SDN. BHD. (1450952P).
Event Cancellation & Refund Eligibility
Eligible for deposit refund minus incurred hard costs and a 15-20% administrative & coordination fee.
Eligible for up to 50% of booking deposit, minus non-refundable third-party bookings (equipment, crew reservations, custom builds).
Deposits are strictly non-refundable due to locked vendor schedules, crew allocations, transport, and equipment holding.
1Event Postponement & Rescheduling Policy
We understand unforeseen business circumstances occur. If you wish to reschedule an event rather than cancel it, BERQAT MEDIA SDN. BHD. provides flexible transfer terms:
- Notice Period: Written notice of rescheduling must be received at least 14 days prior to the original event date.
- Deposit Rollover: 100% of the paid deposit will be rolled over to the new date (valid for up to 6 months), subject to equipment and crew availability.
- Direct Surcharges: Any unrecoverable costs already incurred (such as non-reusable venue permits or dated print collaterals) will be billed at direct cost without markup.

3Force Majeure & Government Directives
If an event is disrupted, prevented, or cancelled due to certified Force Majeure events (such as severe natural disasters, pandemic emergency orders, or government-imposed venue shutdowns):
- Both parties will mutually agree to reschedule the event without penalty within a 12-month window.
- If rescheduling is impossible, a credit voucher or refund minus unavoidable actual expenses will be disbursed.
4Refund Request Procedure & Processing Timeline
To initiate a formal cancellation or refund request, please follow this standardized procedure:
Submit in Writing
Email salam@berqat.com with your official Quotation / Invoice number, reason for cancellation, and corporate bank account details.
Review SLA (7 Days)
Our finance team will evaluate third-party commitments and calculate net refundable balance within 7 business days.
Disbursement (14 Days)
Approved refund sums will be transferred to your original payment method or corporate bank account within 14 business days.
